Items: Circulation Statuses

Managing items in Polaris is where you really start to see the power of Polaris. You have a lot of capacity to do things – find out more here.

Circ Statuses

Claim Never Had – borrower claims they never had the item.

Claim Returned – borrower claims they returned the item

Damaged – item is damaged (temporary status, should not be used long term, use withdrawn if item is not going to return to circulation)

Display – item is on display in library

Held – item is on holdshelf for a borrower

In – item is checked in

In-transit – item is on it’s way “home” to it’s assigned location

Local Missing – item that cannot be located on shelf

Lost – item checked out to patron and never returned

Newly Acquired – item received by Collection Management

On-order – item is on-order.

Out – item is checked out to a borrower

Returned – ILL – used by Inter-Library Loan

Transferred – item is on it’s way to fill a hold request

Unavailable – item is unavailable/in storage

Withdrawn – items is no longer available

Change Circ Status

Remember that you can change the circulation status only for items that you own as they have to have a checked in status to begin with. You cannot update the status of an item that is not “assigned” to your location.  If you check in an item that doesn’t belong to you, it will have a status of in transit.

Changing an item status (one at a time or several at a time):

In LEAP, scan (or type) barcode in the check in box.

Click the box (or boxes for multiple items) of the item(s) you want to update.

Go to the “Manage Item Record” screen.  Click on the Actions drop down menu.  Select Manage Item Record.

On the Manage Item Record screen, check the Circulation Status box and then choose Display, Damaged, Local Missing, Unavailable, or Withdrawn from the dropdown menu.  Click OK at the bottom of the screen.

If you choose Withdrawn, these will be deleted completely on a regular basis here so be sure to mark out the barcodes if you don’t want them accidentally reinstated!  The comforting thing is that means you can fix your mistake if you accidentally delete something – just check it in!
