Borrower Account: Notices

Polaris sends the following notices automatically:

  • Hold Notice – sent the morning after an item becomes held
  • 2nd Hold Notice – sent 3 days after the first hold notice
  • Overdue Notice – sent 7 days overdue AND 21 days overdue
  • Billing Notice – 42 days overdue, this is also when the item becomes lost
  • Reminder Notices (almost overdue) – sent 3 days before an item is due (this is only sent to borrowers who have email as their preferred notification method)
  • Reminder Notice (library card is expiring) – sent 42 days before a library card expires (this is only sent to borrowers who have email as their preferred notification method)

You can view Notice History in the Borrower Account.  This can be helpful if the patron says they didn’t know something was overdue or lost.  You can verify their email address and check the notice history.  Be careful how you phrase this information!   Let your tone be “let me check” rather than “there, I told you.”

Hold Notice history is available in the borrower’s account for 180 days.  Overdue and Billing notice history is available for 999 days.

The charts below illustrate when Polaris sends out various notices.  A few things to note:

  • Patrons without an email address will not find out their item has changed from Overdue to Lost (that’s the Billing Notice).  The Shared System office will send you reports listing patrons with the items that are Lost and replacement charges.
  • We no longer charge fines.  The Fine Notice lets patrons know when their charges are more than $25.00.  These charges are the replacement costs for items that are long overdue and  have the status of Lost.
